AI policy, tools and software for not-for-profits
Your board wants an AI policy. Your staff and volunteers are already trying the tools. If that sounds familiar, we help not-for-profits and community organisations get both sides right, at prices a small organisation can plan for.
Start with an AI policy
An AI policy for a not-for-profit does not need to be long. It needs to answer the questions your people actually have:
- Which AI tools may staff and volunteers use, and for what kinds of work?
- What must never be entered, such as client details, health information and donor records?
- Who approves a new tool or a new use?
- Who is accountable for anything AI produces before it is relied on or sent out?
- What do you tell clients, members and funders about your use of AI?
- When is the policy reviewed?
We write the policy with you, in plain language, short enough that people read it. This is consulting work at $220 an hour inc GST.
Tools and software that fit a small budget
Everyday AI for your team
Working sessions on using AI for the writing, summarising and admin that fill your week, inside the rules your policy sets.
Custom software
Small tools that replace a maze of spreadsheets, such as intake forms, volunteer rosters and reports to funders.

Four questions for your board
Before your board approves any spending on AI, it helps to have answers to these:
- What problem are we solving, and how will we know it is solved?
- What information is involved, and whose is it?
- What happens if the tool gets something wrong?
- Who will own it next year, when the person who set it up has moved on?
If a supplier cannot help you answer them, including us, keep asking.
What it costs
- Advice, policy work and sessions with your team or board: $220 an hour inc GST.
- Software and other build work: a fixed written quote, agreed before any work starts.
- Videos: fixed prices from $149 including GST; a training video of up to 8 minutes is $275.
A written quote means you can take an exact figure to your board or put it in a grant budget.
Why aXai
aXai is a disability-led AI, software and accessibility company. We build AI systems, software, and concepts and prototypes ready to scale, and we deliver them through AI-supported work: skilled people with disability in real, properly paid roles, working to clear quality standards, with AI removing the barriers and people keeping the accountability.
Every project runs on our own infrastructure, the Decision Bus and Project Layer, so each step is planned, signed off by a person and on the record. That is our operating advantage. Read how it works.
If your organisation has a social procurement policy, our social procurement page sets out what we are and what evidence we can give.
Questions
Do you have an AI policy template?
We start from your organisation, not from a template: what you do, who you serve and what information you hold. The result is a short policy that fits.
We hold sensitive client information. Is AI safe for us?
It depends on the tool and on what goes into it, which is what a policy settles. As a starting rule, do not put client details into any AI tool until you have decided which tools are approved and why.
Can you talk to our board?
Yes. A session with your board or leadership team is consulting time at our hourly rate.
Can we start small?
Yes. One hour of advice on one question is a sensible first step.
