AI for community organisations

AI for community organisations

Neighbourhood houses, community centres, peak bodies, cultural and faith organisations and volunteer-run groups do a great deal with a small paid team. Grants, member communications, volunteer rosters and funder reports all land on the same few people. We build systems that take on the drafting, the reminding and the reporting, sized for an organisation where the coordinator is also the bookkeeper.

What AI can take on in a community organisation

  • Grant applications and acquittals

First drafts of applications and acquittal reports assembled from your own program records and previous submissions, in the funder’s structure. A person decides what is claimed and signs.

  • Member and volunteer communications

Newsletters, notices and program information in plain language, Easy Read, large print and other languages, from your own material, approved before they go out.

  • Volunteer rostering and onboarding

Rosters drafted from availability and role requirements for a coordinator to approve, and onboarding information sent to each new volunteer in the format they prefer.

  • Questions answered from your own policies

Your policies, procedures and program rules searchable by staff and volunteers, with the source shown and a person to ask when the answer is missing.

  • Program data and funder reporting

Attendance, activities and outcomes recorded once and reported to each funder in their format, with the numbers traceable to the records behind them.

  • Committee minutes and actions

With consent, a recorded meeting turned into draft minutes and an action list for the secretary to correct and circulate.

What stays with people

  • Relationships with members, volunteers and the community stay with your people.
  • What is claimed, reported or promised to a funder is decided and signed by a person.
  • Committee decisions are made in the meeting, by the committee.
  • Member and participant information goes only where you have agreed it can go.

A draft is a draft until someone who knows the work has read it and signed it off. Every system we build waits for a person before anything is sent, submitted or decided.

On request we review the exact content against the standards your service works under and state the scope of that review in writing.

What we can build for you

  • A grant and reporting tool that works from your own records.
  • An accessible communications tool with your approval step built in.
  • A volunteer rostering and onboarding workflow.
  • A knowledge base of your policies, and an accessible, easy-to-update website.

An AI policy your board can approve, and practical advice at an hourly rate, are on AI for not-for-profits. Websites that work for everyone are on digital accessibility.

How to start

  • A discovery session at $220 an hour inc GST: we work through one task with you, look at what you already have, and give you a written scope. You keep the scope whether or not you build with us.
  • A defined prototype: one task, working in your setting, with a clear finish line and a fixed written quote, agreed before any work starts.
  • A custom build in staged milestones, each quoted in writing before it starts, so you can stop at any stage and still have something you can use.

Why aXai

aXai is a disability-led AI, software and accessibility company. We build AI systems, software, and concepts and prototypes ready to scale, and we deliver them through AI-supported work: skilled people with disability in real, properly paid roles, working to clear quality standards, with AI removing the barriers and people keeping the accountability.

Every project runs on our own infrastructure, the Decision Bus and Project Layer, so each step is planned, signed off by a person and on the record. That is our operating advantage. Read how it works.
