AI for NDIS and disability providers
Disability providers run on information: plans, support notes, rosters, policies, incident reports, worker training and reports to funders. Most of it is produced by people who would rather be supporting someone. We build AI systems that take on the repetitive part of that work and keep a person in charge of anything that matters.
This is our largest area of work, sold to provider organisations at commercial prices with a fixed written quote, agreed before any work starts.
What providers actually need
Participant information in accessible formats
Service agreements, house rules, complaints information and plan summaries in plain language, Easy Read, audio, large print and other languages, from your own documents, checked by your staff before anything reaches a participant.
Worker induction and training content
Induction and refresher content for support workers in the formats they use: short videos, written versions, knowledge checks and a place to ask questions afterwards. Updated when a policy changes.
AI avatar videosRostering and admin automation
Draft rosters from availability, participant routines and ratio rules for a manager to approve; reminders on service agreement dates and plan reviews; forms filled from information you already hold.
Incident and progress-note drafting
A worker describes what happened, by voice or text, and gets a structured draft in the format your process needs. The worker corrects it, the manager signs it off, and the original account is kept.
A knowledge base for staff questions
Your policies, procedures, the Practice Standards and the pricing arrangements, searchable in plain language, with the source and its date on every answer, and a clear route to a person when the answer is missing.
Plan and report drafting support
Progress reports, implementation reports and funding requests assembled from the notes you already have, in the structure the reader expects. The person who knows the participant writes the judgement.
Accessible websites and directories
A website participants can use, an Easy Read version of your key pages, or a directory of services that works with a screen reader and on a phone.
Digital accessibilityData and reporting
What lives in your CRM, rostering system, spreadsheets and inbox brought into one place, so the quarterly report, the audit evidence and the board pack come from data rather than from a weekend.
What stays with people
- Decisions about a participant, restrictive practices, medication, safeguarding and anything sent to the NDIA or the Commission are made and signed by a person.
- Conversations with participants and families stay with your staff. AI prepares; people relate.
- Participant information goes only where you have agreed it can go; where it is kept and who can see it is written into the scope.
A draft is a draft until someone who knows the work has read it and signed it off. Every system we build waits for a person before anything is sent, submitted or decided.
On request we review the exact content against the NDIS Practice Standards and state the scope of that review in writing.
Three ways to start
- A discovery session at $220 an hour inc GST: we work through one task with you, look at what you already have, and give you a written scope. You keep the scope whether or not you build with us.
- A defined prototype: one task, working in your setting, with a clear finish line and a fixed written quote, agreed before any work starts.
- A custom build in staged milestones, each quoted in writing before it starts, so you can stop at any stage and still have something you can use.
We build for this sector ourselves
Together with DisabilityX we built the Disability Services Exchange (DSX), a provider discovery platform designed for participants first, with an Easy Read mode built in, and our aXread product produces Easy Read versions of web pages. Both are evidence of the work on this page.
We also prepare an AI mentoring program for people with disability. It is a separate, future service stream, independent of everything on this page; our NDIS registration is applied for, with the application in progress.
For videos and audits at fixed prices, see AI and custom software for NDIS providers; for content suites in every format, accessible content and video. Support coordinators, plan managers and SIL and SDA providers have their own pages under AI for your sector.
Why aXai
aXai is a disability-led AI, software and accessibility company. We build AI systems, software, and concepts and prototypes ready to scale, and we deliver them through AI-supported work: skilled people with disability in real, properly paid roles, working to clear quality standards, with AI removing the barriers and people keeping the accountability.
Every project runs on our own infrastructure, the Decision Bus and Project Layer, so each step is planned, signed off by a person and on the record. That is our operating advantage. Read how it works.
Questions
Do the drafts your systems produce satisfy the NDIS Practice Standards?
Yes, on request: we review the exact content against the Practice Standards and state the scope of that review in writing.
Can a participant’s plan pay for this?
This page is about systems for provider organisations, quoted commercially. Anything for one person that might be NDIS-funded is looked at separately, with the funding route checked with you before any quote.
We are a small provider with no IT team. Is this for us?
Yes. A discovery session on one task tells you what is practical, and a prototype can be one task working in your setting.
