Using AI to coordinate support workers and keep track

aXai · · Updated · 4 min read

This post will help you use AI to manage your support team. You will be able to extract actions from messages, assign tasks, and follow up on replies. You will also learn how to approve every message before it is sent.

Why coordinating your support team matters

Coordinating a support team can involve many messages and tasks. You might communicate with support workers, family members, or service providers. Keeping track of who needs to do what can be a challenge. If messages are missed or actions are forgotten, it can affect your support arrangements. Using AI to coordinate support workers can help you stay organised and ensure everyone is on the same page.

What to prepare before you start

Before you use an AI tool, gather all the information you need. This includes contact details for your support team members and any relevant documents. Think about how you currently communicate, such as through email, text messages, or a messaging app. Decide what information you want the AI tool to track, such as tasks, deadlines, and who is responsible for each item. Having a clear idea of your needs will help you use the AI tool effectively.

Extracting actions from messages

Messages from your support team often contain important information and requests. It can be hard to remember every detail. An AI tool can help you identify specific actions from these messages. For example, if a message asks about the next appointment with a health professional, the AI can identify asking about the next appointment as an action. You can then ask the AI to list these actions clearly. This helps you see what needs to be done at a glance. You can also learn more about turning messages into tasks with AI by reading our post: Turn messages into a task list with AI.

Assigning owners and setting due dates

Once you have a list of actions, the next step is to assign them to the right person. You can tell the AI tool who is responsible for each task. For instance, you might ask the AI to assign the task of asking about the next appointment with a health professional to a specific support worker. You can also add a due date for each task. This helps everyone know when things need to be completed. The AI tool can then keep a record of these assignments and dates, making it easier to track progress.

Chasing replies and following up

Following up on messages and actions is important to ensure things get done. An AI tool can help you keep track of who you are waiting to hear back from. You can ask the AI to remind you about unread messages or tasks that are overdue. For example, you could ask the AI which tasks assigned to a particular support worker are still open. The AI can then show you a list, so you know who to follow up with. This reduces the chance of things being forgotten.

Keeping control: approving every send

It is important to maintain control over all communications. When using AI to draft messages or reminders, always review and approve them before they are sent. You can ask the AI to draft a reminder to a support worker about an appointment. The AI will create the message, but it will not send it until you give your approval. This ensures that all messages reflect your wishes and are sent at the right time. This step is key to making sure you stay in charge of your support coordination.

Checking the results and making adjustments

After using the AI tool for a while, it is a good idea to check how well it is working for you. Look at your list of tasks and see if everything is up to date. Are messages being sent and received as you expect? If something is not working, you can adjust how you use the AI. For example, you might change how you phrase your requests to the AI, or you might ask it to track different kinds of information. Regular checks help you get the most out of the tool.

Next steps for coordinating your supports

Think about one area of your support coordination that you find challenging. Try using an AI tool to help with that specific task first. You can start by asking the AI to summarise a long email or a letter to identify key actions. For more on this, see our post: How to use AI to summarise a letter. Once you are comfortable with that, you can gradually expand how you use the AI to manage more of your support coordination tasks.

If you would like support to build this skill for your own goal, AI mentoring is an upcoming aXai program for people with disability, where you learn to use AI tools for your own tasks at your own pace; you can register your interest now.
