Privacy policy
aXai Pty Ltd (ABN 49 684 516 881) Effective: 21 October 2026
This policy meets Australian Privacy Principle 1.4, which sets out what a privacy policy must contain, and includes the automated decision-making disclosure that applies from 10 December 2026 (APP 1.7 and 1.8). We follow the Australian Privacy Principles whether or not the Privacy Act 1988 requires it of a business our size.
Who we are
aXai Pty Ltd, Victoria, Australia. We make content and software, and we run the website axai.com.au. For anything about privacy, email annette@axai.com.au. Annette Andersen, Director, handles privacy questions and complaints.
The personal information we collect
- Your name, email address, phone number and organisation, when you give them to us.
- The content of messages you send us, including what you type or say to the AI assistant on this site (Axel AI Assisted), and any booking details.
- If you become a client: the information needed to do the work, such as scripts, brand material, and the names and photographs of people who agree to be presenters.
- If you allow it in the cookie banner: anonymised usage events, such as the pages you visit and the buttons you use, with your IP address shortened so it does not identify you.
- Your preferences on this site, such as Easy Read and accessibility settings, which are stored in your own browser and not sent to us.
We do not collect sensitive information unless you give it to us for the work you have asked us to do, and then only with your consent.
How we collect it
- Directly from you, by email, in chat with Axel AI Assisted, or in the course of work.
- Automatically, when you use the site. The site sets only the cookies it needs to run and to remember your consent and accessibility choices. Usage events are recorded only if you allow them, and we honour your browser's Do Not Track setting. The AI assistant starts only after you allow AI processing.
- From presenters themselves, when a client's video uses a person's likeness: that person gives us their own consent and agreement.
Why we collect it
- To reply to you, book a call, and carry out the work you ask for.
- To make and deliver videos, Easy Read documents, training content, policy wording and software.
- To keep the records that let us show who checked and signed a piece of work (the "Verified by aXai" record).
- To run, secure and improve this website.
- To meet our legal obligations.
We do not sell personal information and we do not use it for marketing you have not asked for.
Who we share it with
We share personal information only with the providers that run this site and do the work, and only as much as they need:
- Google Cloud, which hosts this site in Sydney, Australia.
- Google, whose Gemini models provide the text of Axel AI Assisted's answers. Your messages are processed by Google's Vertex AI service in Sydney, Australia, and are not used to train Google's models.
- aXai's own avatar service, which we wrote and run ourselves, generates the avatar's video and voice. It is currently running on a server in Singapore.
- Google Workspace, which carries our email.
We do not keep chat transcripts on our servers after the reply is sent. Usage events are stored in our own database and are not sent to any third-party analytics service.
We may also disclose personal information where the law requires it.
Overseas disclosure
The words of Axel AI Assisted's answers are processed in Australia. Our own avatar service, which makes the avatar's video and voice, is currently running on a server in Singapore. If you use the microphone, your browser's own speech recognition turns your speech into text, and your browser's maker may process that audio outside Australia. Before we disclose personal information to an overseas recipient, we take reasonable steps to make sure they handle it in a way that is consistent with the Australian Privacy Principles, including through our contracts with them, and we remain responsible for it under APP 8.
Automated decisions
aXai does not use computer programs to make decisions that could reasonably be expected to significantly affect your rights or interests, and does not use them to do anything substantially and directly related to such a decision. We use AI to draft content and to run the assistant on this site. A person checks the work before it is delivered, and a person makes every decision about a client, a presenter or a member of staff. If this changes, we will update this section to say what kinds of personal information the programs use and what kinds of decisions they make, as APP 1.8 requires.
How we hold and protect it
Information is held on systems with access limited to the people who need it, protected in transit and at rest. We keep personal information only as long as we need it for the purposes above or as the law requires:
- Client and contact records: the length of the relationship and seven years after it, as tax and company law require. This includes the work records that support a "Verified by aXai" mark.
- Enquiries that do not become work: twelve months.
- Chat with Axel AI Assisted: not stored.
- Anonymised usage events: twenty-six months.
We destroy or de-identify information we no longer need. If a data breach is likely to result in serious harm, we will notify the people affected and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
Access and correction
You can ask to see the personal information we hold about you, and ask us to correct or delete it, by emailing annette@axai.com.au. We will respond within 30 days. We do not charge for this. If we refuse a request, we will tell you why and how to complain.
Complaints
If you think we have breached your privacy, email annette@axai.com.au. We will acknowledge your complaint within 7 days and respond within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Children
This site is not directed at children. We do not knowingly collect personal information from anyone under 18 without a parent's or guardian's consent.
Changes to this policy
We will publish changes on this page with a new effective date. This policy is available free of charge on this site, and in another form on request, including Easy Read.
